How to manage GDPR data in Dynamics 365 Business Central?

As many of you already know, since May 25, 2018, the GPDR law (General Data Protection Regulation) was implemented at Europe. For this reason, many companies had to adapt their ERP business management software in order to perform data protection management.

Dynamics NAV and Dynamics 365 Business Central wanted to provide us with the necessary functionality to comply with the GPRD law. Of course, giving the correct treatment of the information will always be the company’s responsibility.

Dynamics 365 Business Central provides the best tools and effective solutions to manage and comply with the GDPR rules, being able to:

  1. Easily find and filter data
  2. Manage personal data with Dynamics Nav modules
  3. Give security: protect data with integrated tools
  4. Analyze and keep records updated.

Requests for personal data

The regulation indicates that residents of the European Union have the right to request the export, deletion and modification of their personal data. If the security administrator has correctly classified the data as sensitive, you can respond to these requests quickly and easily from the “Data privacy” menu.

How to manage sensitive data of the GPDR?

In these versions a new ROL of “Security Manager” has been created which allows to manage everything related to the GPDR. It can be assigned to a user through the “User Customization” menu.

Once we assigned the user in charge of data security, we will obtain access to the “Data Privacy” menu.

DataClassification

The first time we access the “Data Classifications” menu we must follow an assistant to manage the people´s data.

Through an assistant, we can manually select the data to classify them in a general way.

If necessary, once the wizard is finished, we can adjust the classification of the data individually through the menu “Process” -> Set as.

From the menu “Data privacy” -> Interested -> Process. We can see the activity of the data and execute the “Privacy Utility” to export, modify or delete the data of the affected person or create a configuration package.
